Terms of Service
Effective date: 3 November 2026
1. Who these terms are for
These terms apply when you use:
- the Event Vault app, and any event app we build and publish for an organiser under the organiser’s own name (together, “the App”);
- the web pages attendees use for an event, such as the guest portal, and the event programmes we publish on organisers’ websites;
- this website, event-vault.com.
They are an agreement between you and Event Vault, Martinus Nijhofflaan 13H, 2624 ER Delft, the Netherlands (KvK 87711672, VAT NL004463786B04).
Organisers are covered by a separate agreement. If you run an event in the Event Vault console, or buy a plan such as Lineup, our General Terms and Conditions and your agreement with us apply to that use instead of these terms.
2. The organiser and us
Every event in the App is run by its organiser, not by Event Vault. The organiser decides what the event shows, who may attend and how attendees can take part. We provide the technology.
- The programme, speakers, sponsors and other event information come from the organiser. We are not responsible for whether they are accurate or up to date.
- Tickets are sold by the organiser. When you buy one, your purchase agreement is with the organiser, under the organiser’s own terms of sale and refund policy. Payments are processed by Stripe. Event Vault does not sell tickets and never holds your money.
- The organiser is responsible for the personal data you provide for their event, and we process it on their behalf. Our Privacy Policy explains how.
3. Your account
- Most of the App needs an account. Give accurate details and keep your login to yourself.
- You are responsible for what happens under your account. If you think someone else has used it, tell us at info@event-vault.com.
- You can delete your account at any time. Data deletion explains how.
- An organiser can withdraw your access to their event, for example when you are no longer on their guest list. Your account itself stays.
4. Taking part: posts, chats, questions and votes
Depending on the event, the App lets you post in an event feed, chat with other attendees, ask questions in sessions, vote in polls and share your digital business card. The organiser decides which of these an event offers.
- Treat other people with respect. Do not post or send anything that is unlawful, abusive, harassing, discriminatory, sexually explicit or misleading, or that infringes someone else’s rights. Do not send spam, or advertising the organiser has not allowed.
- You can report a post or a conversation, and block another attendee, from inside the App. Reports go to the organiser’s moderators.
- The organiser’s moderators can hide posts and messages and remove people from an event’s feed and chat. We may do the same where the organiser does not act, or where the law requires it.
- What you post stays yours. You allow us and the organiser to store it, display it and share it with the event’s attendees for as long as it is part of the event. That permission ends when the content is deleted, apart from copies the law requires us to keep.
- Your profile appears on an event’s guest list only if you choose to show it. You can hide it in Settings at any time.
5. Using the App properly
You may not:
- copy, modify or distribute the App, or use our name or logo, without our written permission;
- try to extract the App’s source code, or get around its security or access controls;
- access events, accounts or data you are not entitled to, or collect other attendees’ details for purposes they did not agree to;
- disrupt the App or the systems behind it, or upload malicious code.
If you break these terms we may suspend or end your access. For a serious breach we may do so straight away. Otherwise we will tell you first where we can.
6. Availability and changes
The App is free for attendees. We work to keep it available and reliable, but we cannot promise it will always work without interruption or errors, for example during maintenance or when a service we rely on is down. We may change, add or remove features. Your mobile provider may charge for the data the App uses.
7. Other companies’ services
The App relies on services from other companies, such as Google Firebase for hosting and sign-in, Stripe for payments, and Apple and Google for app distribution and push notifications. Their own terms also apply to those parts. Links to other websites, including organisers’ and sponsors’ sites, are outside our control.
8. App stores
If you downloaded the App from Apple’s App Store or Google Play, these terms are between you and Event Vault, not Apple or Google. Event Vault, not the store, is responsible for the App and for supporting it. Apple and its subsidiaries are third-party beneficiaries of these terms and may enforce them against you.
9. Liability
- We are liable for damage we cause deliberately or through gross negligence, and wherever mandatory law does not allow liability to be excluded.
- As far as the law allows, we are not liable for indirect damage, or for the event itself, its content, or the conduct of the organiser or other attendees.
- Nothing in these terms limits the rights you have under mandatory consumer law.
10. Changes to these terms
We may update these terms. The effective date at the top shows when they last changed. If a change significantly affects you, we will tell you in the App or by email before it takes effect. If you do not agree with it, you can stop using the App and delete your account.
11. Law and disputes
Dutch law applies to these terms. Disputes are heard by the competent court in The Hague. If you live elsewhere in the EU, you keep the protection of your own country’s mandatory laws and may also bring a claim in your own courts. Please contact us first, so we can try to resolve it.
